Southern Baptist Educational Center (SBEC),  located on 61 spacious acres it shares with Broadway Baptist Church in Southaven, Mississippi,  has grown in size and scope and serves an average of 1,100 students in grades K-12, and employs more than 150 on its staff. While continuing to grow, SBEC remains true to its mission, which is to equip the next generation by assisting the home and church in pursuit of a Christ-centered world and life view, achieved through the highest quality, Biblical-based academic and co-academic instruction – and ServiceU has been there to help with all their event scheduling needs.

Continuing Expansion, Growing Scheduling Needs

Since 2004, the campus has continued to expand, adding lighted tennis courts, a band suite, and an academic facility with 12 classrooms. The latest building project, a new high school gymnasium, was officially dedicated in early 2008. As SBEC has grown, so has its scheduling needs.

Patty Weaver is the director of operations for both SBEC and Broadway Baptist Church. She says in order to keep the scheduling straight for the elementary, middle and high school, as well as the church and daycare, a strong system needed to be in place.

“Not too long ago, everything was scheduled via paper,” says Weaver. “If a teacher wanted to schedule the church sanctuary, they would walk over a request to me or the principal and then it would usually be a couple of days before they would know if their approval was granted or denied. In addition, if there were questions, those too could take days to answer. All in all it was a very tedious system. Those days are long gone now thanks to ServiceU.”

Weaver, who has worked for the school and church since 1996 and through most of its growth, says ServiceU has streamlined the entire campus.

More Efficiency
“What ServiceU through EventU has done is make our entire process more efficient,” she says. “Our department heads now have immediate access to planning and changes that before would take days. EventU has expedited our entire calendar process.”

One example Weaver noted was the scheduling of the gymnasium for practices and events.

“We have four elementary teams and four high school teams all using the same gym,” she notes. “With EventU, our coaches can simply pull up the calendar and see exactly what is available. If the date or time they want is taken, they know right away they need to find an alternate. If it is not taken, they can book their event immediately on their own computer, without delays. In addition, our high school or elementary athletic director can OK the process very quickly.”

In the same way, Weaver uses EventU to schedule all of the campus’ transportation needs. “What used to take days now can take literally minutes or seconds,” she says. “A teacher or coach can request a vehicle and the response can be sent back to them at their computer terminal or Blackberry. It has been a huge benefit to our entire staff to be able to do everything electronically.”

Weaver adds that ServiceU staff was very helpful with the initial set up; however, the process is so easy to use, she hasn’t needed much help.

“I am by no means a computer guru,” she notes. “However, EventU is so easy to learn and use, if you have a very basic computer background, it will come very easily to you. January Founder’s Letter

Dear Friends,
Happy New Year! I hope each of you had a blessed Christmas season and a joy-filled New Year!

As we greet 2010, I’m sure many of you have made (and broken) your New Year’s resolutions. Lose weight, stop smoking, reduce the caffeine intake; all of those are honorable resolutions, and yet we rarely give them a second thought after February 1. Then, we don’t reap the benefits or successes of what we resolve to accomplish!

VCF wins “Best Green Initiative” in reconginition of their energy reduction

ServiceU would like to congratulate Vineyard Christian Fellowship for winning the “Best Green Initiative” as part of the fourth annual Worship Facilities Conference & Expo (WFX) Solomon Awards. This award recognizes the church’s environmental stewardship efforts.

EventU Green™ is an integral part of VCF’s “green initiative.” EventU Green allows VCF to automatically control room temperature for their events by coordinating their heating and air conditioning based on their event schedule.  By utilizing EventU Green and other energy-conscious steps, VCF has experienced a 25% reduction in their consumption and a near 20% utility and labor savings.

Here’s a look at how they’ve done it:

EventU Green reduces utility and labor costs
• Utility savings

As VCF evaluated their energy consumption, the church realized that they were using too much energy within their facilities. Before launching EventU Green, the heating and cooling would run in rooms and zones that were unoccupied for extended periods of time, resulting in a large energy expense for the church.  By using EventU Green, VCF was able to efficiently manage the HVAC to heat or cool a room only when an event is going on. This has resulted in tremendous energy utility savings for the church.

• Labor savings
In addition, labor costs have been reduced by the automation features of EventU Green.  Because EventU Green is integrated with VCF’s event calendar, the heating and air-conditioning automatically switches on in time for the room to reach the right temperature before the event begins. Because of this feature, VCF has reduced labor costs because staff members do not have to come to the church after-hours to “turn on” and “turn off” the HVAC for events.

• Reducing stress and confusion
Another way in which EventU Green has saved VCF on labor costs is by automatically adjusting the HVAC when an event runs longer than anticipated. Event organizers simply turn the air on and off from any computer with Internet access rather than chasing down a facilities person. This has helped eliminate confusion, frustration and stress among the congregants and the facility management personnel.

Additional ways VCF has reduced their environmental footprint

In addition to EventU Green, VCF has taken many other steps to reduce their environmental footprint. Here’s a few of the steps they’ve taken.
• Retrofitting the lighting throughout their entire building with energy-efficient light bulbs and ballasts, and installing motion sensors in areas to prevent lights being left on unnecessarily.
• Launching a recycle initiative. VCF estimates that they’ve recycled 24 tons of cardboard and 15 tons of paper. In addition, VCF recycles aluminum, plastic, glass, and batteries.
• Planting trees helps shade their structures and chipping tree branches that have fallen places them back into the soil as mulch
• Using only biodegradable cups, plates, cutlery, napkins, etc ., in campus facilities
• Planting a small fruit orchard to reap the natural benefits of the trees themselves and also to help provide fresh fruit that they distribute to the less fortunate and homeless through their Compassion Ministry that serves more than 3,000 families each month.
