Staying organized is a very important part of running a successful Vacation Bible School program. With VBS season almost upon us, we’ve taken a moment to talk with Terri Lincoln at First Redeemer Church (FRC) in Cumming, Georgia about how she uses TransactU and EventU to help keep track of VBS registrations and help the program run more smoothly.
First Redeemer Church runs two back-to-back weeks of VBS for children in mid-July each year. Last year, the church served more than 2,500 children.
Lincoln says TransactU and EventU has helped her manage the day-to-day issues related to the planning and registration processes.
Using TransactU for Online VBS Registration
“It is absolutely necessary for us to keep count of how many children are registering within each age/grade group,” Lincoln notes. “By creating each age/grade as a separate event within the TransactU system, we are able to have a maximum number of registrants per group. This prevents overcrowding and helps us understand our enrollment numbers. Although the initial creation of the events takes a bit of time, it is well worth it in the end.”
She created a VBS Registration Template and customized it to meet the church’s needs. “I even inserted a question on our registration form template in which the parents have to agree by clicking a radio button stating ‘all the information above is correct’ in order to cover our liability.” Once a registration form has been completed, a confirmation is sent via email to verify that the registration has been received. “Parents are pleased to receive this confirmation,” Lincoln adds.
EventU: Keep in all straight
The church uses EventU to reserve different spaces within their campus so that there are no conflicts or double bookings with other ministries. “This allows us a lot of flexibility and enables us to have control over the areas we need for VBS without imposing on other ministries that use the facility at the same time,” adds Lincoln.
